Blanchard Exchange does not allow you to attach files directly to emails in the traditional sense. However, you can use the Library feature of Blanchard Exchange to link directly to files in your account library and include those links in your email templates. This approach provides an added benefit over traditional email attachments, as it avoids any file size limitations that may be imposed by email servers.
To begin the process of including a link to a file, start by uploading the file directly into your account library. A tutorial on the Library feature can be found here.
Enabling direct links to files
After the file has been uploaded to your library, you must enable what is referred to as a direct link to the file. A direct link is a URL that is randomly generated by Blanchard Exchange to provide access to a file. No login to Blanchard Exchange is required to access files served through this method—the URL itself is the only information required to access the file.
To enable a direct link:
Select the Settings tab from the main navigation, then select Direct Links – Added.
Locate the desired file in the list, select Get Link, and change the Access Link setting to On.
(Optional) If you wish to set an expiration date for when the file should no longer be accessible through the URL, select Empty next to Active Until and enter an expiration date.
Copy the URL and save it for later use.
Adding a Direct Link to an Email Template
- Locate the email that needs to be modified (either within your Email Templates section or within a project if this is a one-time edit) and edit the email. For more information, see the tutorial found here.
Insert the link you saved when enabling the direct link to the file. Use the Link icon in the editor (which resembles a chain link). The link can be inserted directly into the email, or you can highlight text in the message and convert it into a clickable link (for example: "...click here...").
The Link Options dialog that appears should not require any changes beyond pasting the saved link into the URL field.
For details on inserting a link, see the tutorial.
| Unlike traditional project tracking, which monitors assignment access and completion, direct links do not have any tracking associated with them. If you have a file that you want to track, it should be added directly to a course in order to capture access details. |
